Problem Summary
Users who have been assigned a new voicemail box may not know how to complete the initial setup, including setting a PIN and recording greetings.
Environment
- Cisco Unity Voicemail System
- MCC desk phones
- Faculty and staff users
Issue
A new voicemail box has been created, but it has not yet been configured with a recorded name, personalized greeting, or secure PIN.
Resolution
1. Access Your Voicemail
- Press the Messages button on your desk phone
- When prompted, enter the default PIN:
876532
2. Change Your PIN
- Enter a new PIN (must be at least 6 digits)
- Press # when finished
- Re-enter the new PIN to confirm
- Press # again
- The PIN cannot have numbers that are in sequential order
3. Record Your Name
- The system will prompt you to record your name
- At the tone, clearly say your first and last name
- Press # when finished
Options:
- Press # to accept your recording
- Press 1 to re-record
4. Record a Personal Greeting
- The system will play a default greeting:
“Sorry, (user name) is not available”
Options:
- Press # to keep the default greeting
- Press 1 to record a new greeting
If recording a new greeting:
- Speak your message after the tone
- Press # when finished
Options:
- Press # to save the greeting
- Press 1 to re-record
Expected Result
After completing these steps, your voicemail box should be fully set up with:
- A recorded name
- A personalized greeting
- A secure PIN for access
Cause
New voicemail boxes are created with a default PIN and no user-specific recordings. Initial setup is required to personalize and secure the mailbox.
Additional Information
- It is recommended to choose a secure PIN that is not easily guessed
- You may update your greeting or PIN at any time through the voicemail system
- Completing setup ensures callers receive accurate identification and messaging
